The issue of utilizing two separate programs for the input of student grades presents a significant challenge that can complicate the correlation between student assignments and their corresponding grades. When educators are required to navigate multiple systems, it often leads to confusion and inconsistency, which can adversely affect the accuracy of the grading process. This disconnection can create a frustrating experience for both teachers and students, as discrepancies may arise in the data recorded across the different platforms. Furthermore, reaching out to an administrator for assistance with these issues can be a time-consuming endeavor. Administrators often have a multitude of responsibilities, and their response times can vary, which can exacerbate existing problems and delay the grading process even further. Given that the grading process is already a time-intensive task for educators, any additional complications can significantly hinder their ability to provide timely feedback to students. To address this pressing issue and streamline the grading process, I took the initiative to conduct a comprehensive Needs Assessment alongside my colleagues at Horizon Science Academy. This assessment was carried out at both our Youngstown and Austintown locations, allowing us to gather insights and feedback from a diverse group of educators. The Needs Assessment involved a thorough analysis of the current grading systems in use, as well as the challenges faced by teachers in managing student assignments and grades. We collected data through surveys and discussions, focusing on identifying specific pain points and areas for improvement. By engaging with my coworkers, we aimed to understand their experiences and gather suggestions on how to enhance the efficiency and effectiveness of our grading processes. The results of the Needs Assessment will serve as a foundation for proposing actionable solutions that could potentially unify the grading systems or improve the existing ones. By collaborating with my colleagues and taking a proactive approach, we hope to foster a more cohesive and efficient grading environment that ultimately benefits both educators and students alike.
Needs Assessment:
The Horizon Science Academy Austintown location is a newly established branch within the Horizon Science Academy network, which aims to provide quality education through innovative teaching methods and a strong emphasis on science and technology. To facilitate the opening of this new location, five new teachers were hired, each bringing unique skills and perspectives to the educational environment. In contrast, the Youngstown location, which has been operating for a longer period, only required the hiring of three new teachers. This difference in staffing needs highlights the established stability and continuity at Horizon Science Academy Youngstown, where many educators have demonstrated a remarkable commitment to their roles, with numerous teachers having been part of the institution for over five years. This longevity speaks volumes about the supportive work culture and effective administration that fosters professional growth and retention. The recent Needs Assessment conducted at both locations brought to light some critical areas where the new teachers require assistance. One of the primary challenges identified was the necessity for the new educators to align the curricula and grading systems of both campuses effectively. This alignment is crucial in ensuring that students receive a consistent educational experience, regardless of which location they attend. The task of adding weight categories to each course in the Schoology learning management system is particularly complex. It involves not only understanding the specific requirements of each course but also ensuring that these categories accurately reflect the grading standards set by the academy. Furthermore, the integration of these weight categories must correspond seamlessly with PowerSchool, the student information system used by the academy to track grades, attendance, and overall student performance. The process of aligning these two systems—Schoology and PowerSchool—presents several challenges. It requires meticulous attention to detail, as any discrepancies between the two platforms can lead to confusion among students and parents regarding grading and academic expectations. Moreover, the new teachers must familiarize themselves with both technological systems, which can be overwhelming, especially for those who may not have extensive experience with educational technology. Therefore, ongoing support and professional development opportunities are essential for these educators to navigate the complexities of the grading systems and to foster a collaborative environment where they can share strategies and best practices. Overall, the successful integration of these programs is vital for maintaining the high educational standards that Horizon Science Academy is known for and ensuring that all students receive the quality education they deserve.
Learning Management System (LMS):
The creation of a comprehensive module designed specifically for educators to follow along with will significantly enhance their capacity to effectively correlate the grading policies with the addition of category weights. This module will serve as a structured guide, detailing the intricacies of grading frameworks and how different category weights can impact overall student assessment. By providing educators with a clear understanding of these concepts, they will be better equipped to implement fair and consistent grading practices that reflect students’ true performance and learning outcomes.
Furthermore, the hands-on capability integrated into this module will allow educators to engage with the material in a practical manner, facilitating a deeper understanding of the subject matter. This experiential learning approach is vital as it enables teachers to grasp the key differences between the two essential educational platforms: Schoology and PowerSchool. Understanding the distinct roles and functionalities of these systems is crucial for educators, as each platform serves different purposes in the educational ecosystem.
Job Aids:


The created job aids provide an effective and user-friendly resource for educators, allowing them to easily refer back to essential information without the necessity of accessing the entire module again. These aids are designed to be concise yet comprehensive, encapsulating key concepts, procedures, and guidelines that educators frequently need to recall. By having these job aids readily available, educators can streamline their workflow and reduce the time spent searching for information. They can conveniently place the job aid next to their desk, ensuring that it is within arm's reach during critical moments, or opt to save the information digitally on their devices. This digital storage option not only facilitates quick access but also allows for easy updates and modifications as needed. Such accessibility is particularly beneficial during high-pressure periods, such as when Progress Reports or Report Cards are about to be sent out. During these times, educators often face tight deadlines and the need to ensure accuracy in their assessments. The job aids serve as a reliable reference point, helping them to remember the necessary processes, guidelines, and best practices to follow. This can include details on grading criteria, formatting requirements, and communication protocols with parents and guardians. By having this information at their fingertips, educators can enhance their confidence and efficiency, ultimately leading to a smoother and more organized reporting process. In summary, the implementation of these job aids not only supports educators in their daily tasks but also contributes to improved educational outcomes by ensuring that they have the tools they need to succeed right when they need them.
